- Purpose and Scope
This document sets out the identity verification procedures that apply to all accounts registered with Sudbury. These procedures are designed to meet applicable legal and regulatory obligations, including anti-money laundering requirements, age verification, and the prevention of fraudulent account activity.
Identity verification applies to all users accessing Sudbury from Canada. Verification may be required at the point of registration, before a withdrawal is processed, following a change to account details, or at any time the company determines that additional confirmation of identity is necessary.
Failure to complete verification within the timeframes specified in this policy may result in restricted account access or account suspension.
- Legal Basis for Verification
Identity checks are conducted in accordance with applicable Canadian regulatory requirements. Canadian operators are required to implement customer due diligence procedures, including confirmation of the identity of account holders using reliable and independent sources of information.
These obligations apply regardless of the amount or frequency of account activity. Verification requirements are not waived based on account history, loyalty status, or any other account characteristic.
- When Verification Is Required
Verification may be triggered under the following circumstances:
- At the time of account registration, as part of the standard onboarding process
- Before any withdrawal request is approved
- When account information is updated, including name, address, or contact details
- When account activity generates a compliance review
- When a request is received from a regulatory authority
- When there is a reasonable basis to suspect that account information is inaccurate or that the account is being used in a manner inconsistent with the registered holder’s identity
The company reserves the right to request verification at any point during the account lifecycle.
- Required Documents
4.1 Identity Documents
To verify identity, at least one government-issued document that includes the account holder’s full legal name, date of birth, and a photograph is required. Accepted documents include:
- Canadian passport
- Provincial or territorial driver’s licence
- Provincial or territorial photo identification card
- Permanent resident card
- Other government-issued photo identification accepted at the company’s discretion
Documents must be valid at the time of submission. Expired documents are not accepted.
4.2 Proof of Address
Where address verification is required, documents must display the account holder’s full name and current residential address. Accepted documents include:
- Utility bill issued within the past 90 days
- Bank or financial institution statement issued within the past 90 days
- Government-issued correspondence dated within the past 90 days
Post office box addresses are not accepted as proof of residential address.
4.3 Additional Documentation
Supplementary documentation may be requested in specific circumstances. This may include, but is not limited to, source-of-funds documentation, proof of payment method ownership, or additional identity confirmation where initial submissions are unclear, inconsistent, or incomplete.
- Submission Process
Documents must be submitted through the designated verification channel indicated in the account area or in the verification request communicated to the account holder. Digital copies in standard image or document formats are accepted. Submitted files must be legible, unaltered, and complete. Cropped, edited, or partially obscured documents will not be accepted.
Receipt of submitted documents will be acknowledged, and the outcome of the review will be communicated within a reasonable timeframe. If submitted documents do not meet the requirements set out in this policy, the account holder will be notified and informed of any additional or corrected documentation required.
- Review and Outcome
6.1 Verification Approved
When verification is successfully completed, any restrictions applied to the account pending verification will be lifted. The account holder will be notified of the outcome.
6.2 Verification Declined or Incomplete
If the company is unable to verify the identity of an account holder based on the documents submitted, the account may remain restricted. In cases where verification cannot be completed after reasonable attempts, the company may close the account in accordance with its terms and conditions. Any balance held in the account at the time of closure will be handled in accordance with applicable regulatory requirements.
- Data Handling and Retention
All identity documents and personal information submitted for verification purposes are processed and stored in accordance with Sudbury’s Privacy Policy and applicable Canadian privacy legislation, including the Personal Information Protection and Electronic Documents Act where applicable.
Documents submitted for verification are used solely for the purpose of confirming account holder identity and meeting compliance obligations. Verification documents are not used for marketing purposes and are not shared with third parties except where required by law or where necessary to fulfil a regulatory obligation.
Verification records are retained for the period required under applicable law. Following expiry of the mandatory retention period, records are deleted or anonymised in accordance with the applicable data retention schedule.
- Account Holder Obligations
Account holders are responsible for ensuring that all information provided is accurate, current, and complete. Submitting false, altered, or misleading documentation constitutes a breach of Sudbury’s terms and conditions and may result in immediate account closure and referral to relevant authorities.
Account holders must notify the company promptly if any registered account information changes, including legal name, residential address, or contact details. Changes to registered information may trigger a new verification request.
- Contact
Questions regarding the identity verification process or the status of a pending verification request should be directed to the support team through the contact channels listed on the official Sudbury website.
